IACUC Novelution Transition Plan Questions ABOUT USING IRB NOVELUTION

IACUC Novelution is the new submission platform for IACUC submissions and will launch on Nov. 17, 2025.

What happens to my existing approved protocols?

No action will be taken on existing approved protocols.

Do I have to create a new protocol in Novelution?

Yes, all new submissions (new protocols, 3-year renewals) need to be submitted into the system to create a new record for them.

If you have similar protocols (similar research team, species, etc.) you can click the “Copy” button on an approved protocol and select several or all panels to copy onto a new protocol. Then you’ll only need to edit the panels which will be new to this protocol.

I have an existing protocol that was approved in the PDF form, and I need to submit an amendment. What should I do?

If you need to amend an already approved study, you can continue to email PDF amendments. Once the protocol is up for 3-year renewal, it will need to be submitted through Novelution.

If you prefer to have all your protocols in Novelution, you may submit your protocol at any stage of its approval period for re-review and receive new approval and expiration dates.

Submit the Amendment form via email to the IACUC team members (beckerd@fau.edu, desquenazi2019@fau.edu, kcware@fau.edu.

How do I create an Amendment in Novelution?

In IACUC Novelution, amendments are created as revisions to the original protocol. To create an amendment click the “Request” button in the Amend Protocol box at the top of your approved protocol. Select “Amendment” as the “Type” and select the modifications you need to make as well as a brief description then click to save.

Clicking to request an amendment creates a new revision and unlocks your original submission which allows you to make changes directly into the respective fields. Once you have completed your amended changes, click to review and submit.

I recently submitted my protocol to Novelution but I need to make an edit, what should I do? Wait! Contact the IACUC team members to learn the status of your protocol in the routing process.

How do I know my college has signed and that the IACUC Office has received my submission?

You will receive both a task notification in Novelution and an email informing you of each of these steps. You can also log into your protocol and click to view the workflow in the Requirements panel at the bottom. If you have any questions regarding the status of your submission, contact the IACUC team members.

How do I submit a 3-year renewal?

If your protocol is in the paper form, you’ll need to create a new protocol in Novelution for your 3-year renewal.

If your protocol is up for renewal in Novelution, click the “Renew” button from the Renew Protocol box up at the top of your approved protocol. Click yes to create a 3-year renewal which will copy your entire protocol and assign it a new number. Review the fields and make any changes needed before clicking to submit for approval.

My study is finished, and I need to close it. What should I do?

If your protocol was only ever reviewed through the PDF form contact the IACUC team members. If you have a Novelution protocol that needs to be closed, follow the steps listed in the Novelution tutorial videos/how-to manual for closing studies.
