Outside Activity Reports due by September 30, 2022*

For all University employees,

The University is pleased to announce that it has updated its Conflicts of Interest, Conflicts of Commitment, and Outside Activity Policy and Disclosure Process.  The updated policy may be found on the University’s Policies Website and at this direct link: Policy 8.3 Conflicts of Interest, Conflicts of Commitment and Outside Activity

The updated policy requires FAU employees (non-OPS) with at least a .50 appointment and any FAU employee engaged in the design, conduct, or reporting of research regardless of full-time or part-time status (“Reporting Employees”) to complete an outside activity report and receive approval prior to beginning any outside activities and on an annual basis thereafter.  An outside activity report must be submitted for each fiscal year on or before September 30 for all Reporting Employees even if the employee has no outside activity to report for that year.   The annual outside activity report deadline for FY22-23 is September 30, 2022.  If you have already submitted a report on or after July 1, 2022, you need not re-file unless you have a new or additional outside activity to report.

OPS employees, student employees, and graduate teaching assistants are excluded from the reporting obligations unless there is a potential conflict of interest or conflict of commitment associated with any of their outside activity and their obligations as an FAU employee.  All FAU employees with any level of appointment continue to be bound by the conflict provisions of the Florida Code of Ethics.

Outside activity is any practice, consulting, employment, teaching, research, speaking engagements, or business (including managerial interests or positions or service on boards or commissions), or other activity, compensated or uncompensated, which is not a part of the employee’s assigned duties and for which the University provides no compensation. Outside activities generally do not include participation in political, religious, social, fraternal, recreational or personal educational activities, unless the activity requires the provision of professional or board services, the activity is performed for compensation other than the reimbursement of expenses, or the activity otherwise creates a material conflict of interest or commitment. 

A separate report must be filed for each outside activity.  If several activities are engaged in with a single outside entity or organization, these can be included in a single outside activity report. The outside activity report includes any financial interests, or financial or managerial interests of spouses and children and managerial interests of other relatives, if: (i) there is a contemplated business relationship with the University or its direct-support organizations, (ii) there is a relationship of such interest with your University responsibilities, or (iii) you are engaged in the design, conduct and reporting of research and hold financial interests with a foreign entity.  Reports include both domestic and foreign activities and interests held during periods of non-appointment or leave.

Outside activity reports should be completed through Workday.  There are two outside activity report forms--one form for reporting outside activity Outside Activity Report (Activity to Report) and one form for those who have no outside activity to report Outside Activity Report (No Activity to Report).
