Sharing Contacts and Tasks in Outlook 2007

Sharing Contacts
For Reviewing Rights Only:
- Open Outlook and click on Contacts.
- Click on Share My Contacts folder.
- Type in the email address of the user you woold like to share your contacts with.
- Click Send.
- Click Yes.
- Click OK to close.
For Publishing Editor
- Open Outlook and click on Contacts.
- Under “My Contacts,” right-click on Contacts, and select Properties.
- The Contact Properties window will appear. Click the Permissions tab.
- Click Add
- Select the user from the Global Address List and click OK.
- The user will appear in the window.
- Select the Publishing Editor Permission level for the user.
- Click OK.
Sharing Primary User's Tasks
Important: Sharing Tasks is not necessary unless you need to print a shared calendar. This step can be skipped.
For Reviewing Rights
- Open Outlook and click on Tasks.
- Click on Share My Tasks folder.
- Type in the email address of the user you woold like to share your tasks with.
- Click Send.
- Click Yes.
- Click OK.
For Publishing Editor and Additional Rights
- Open Outlook and click on Tasks.
- Under “My Tasks,” right-click on Tasks, and select Properties.
- The Task Properties window will appear. Click the Permissions tab.
- Click Add.
- Select the user from the Global Address List and click OK.
- The user will appear in the window.
- Select the Publishing Editor Permission level for the user.
- Click OK.
Open Shared Contacts for Secondary User
Note: For Reviewers only just click on the email you received. For Publishing Editor rights please follow the steps below.
- Open Outlook and click on Contacts.
- Click on Open a Shared Contacts link.
- Enter the primary user’s username and click OK.
- The primary user’s contacts will automatically open.
- You will see the primary user’s name on the left-hand side under People’s Contacts.
Note:
The primary user’s contacts are visible when the primary user’s name appears under People‘s Contacts. To remove the primary user, right-click on the name and select Delete “User.”
