Its cloud solution meets the University's 21st century operating requirements and mitigates the risks of system failure, security breaches, and regulatory violations.

Workday's unified administrative solution for HR, payroll, and finance is currently used by more than 200 clients including Brown, Broward College, University of Miami, Georgetown, Cornell, Carnegie Mellon, and USC. Compared with conventional Enterprise Resource Planning (ERP) solutions, Workday delivers more than 200 best practices to its clients and is the least costly to implement.

What does this mean for Florida Atlantic University?

By replacing its aging computer systems that are becoming more costly and increasingly difficult to support, Workday will enable FAU to improve the way it administers and delivers key human resource, benefit, and financial services to faculty and staff. Many paper-driven, labor-intensive business processes like the Personnel Action Form (PAF) will now be automated, making it easier and faster to submit and track changes. In addition, policies and processes will be built into the new system to ensure consistency and transparency.

What does this mean for you?

Workday will impact all members of the FAU community, enabling offices and individuals to better manage their personal information. With 24/7 access from any computer or mobile device with Internet capability, you will be able to update your address, request vacation time, change a beneficiary, and view compensation and benefit information. For those staff with financial responsibilities in their job description, you will be able to review account balances and approve reimbursements. FAU managers will also have easy access to staffing and organizational information.

Staff and faculty will gain a more complete understanding of the Workday system, they will learn where important information is located and how to access it, and they will be able to confidently utilize Excel in connection with Workday. You have approved all of the transactions in your inbox, now what? This class is designed to show you how to view the end result of all your financial activity. Topics include View Trial Balance, Budget to Actual Reports, Budget Checking, Financial Model and Crosswalk. Additionally, PCard Approvals and PCard Delegation will be discussed during this two hour session.

 Workday HCM (HR) – Classification & Compensation

Module 1:  This session reviews the basics of the Fair Labor Standards Act and best practices in writing position descriptions (AMP and SP). In addition, guidance is provided in Workday HCM processes such as Create, Edit Position Restrictions, and Close Position. 

 

Module 2: This session will cover Workday HCM processes such as Request Compensation Change (Special Pay Increases and Allowances), Request One-Time Payment, and specific Change Job processes (Reclassification, Move to Another Manager, Change Job Details).

HCM REFRESHER III

This refresher session is open to existing HR Partners and Business Managers to discuss the following topics:

1. Re-hire: Processing recruited and non- recruited rehires

 

2. Correcting Assignments: Understanding when to use the "correct" function on a Business Process.

 

3. End Additional Job: Learning the "dos" and "donts" of initiating this process.

 Workday Timekeeping

Designed for designated departmental Timekeepers. The course will highlight how to analyze hours submitted by OPS and SP employees weekly, manage Holiday Compensation, Special Compensation, and Overtime Compensation. Run reports for weekly audit purposes. Override hours for employees entering hours via In/Out and Time In/Time Out.

Red Flags training is required for employees handling FAU covered financial accounts in accordance with University Policy 5.6 – “Identity Theft Prevention Program.” This training is completed through Canvas and users will be enrolled by OIT as necessary upon hire.
