Policy On Beginning and Ending Dates for Sponsored Projects 02-01

Purpose:

To ensure that all awards are authorized for a specified period.

Background:

In the past some sponsoring agencies have not specified beginning and ending dates on their grant award notice. Although budget and project period dates must be included on the Pre-Award Routing Sheet, the timing of the receipt of a grant award may necessitate a revision of these dates. Contract terms should include a specific period of performance.

Policy:

Before Sponsored Programs processes the post-award paperwork for any new grant award that doesn’t have stated beginning and ending dates, the Principal Investigator and/or sponsoring agency will be consulted to determine the appropriate dates. No account will be set up in the FAU financial system without a beginning and ending date.

If the award is in the form of a contract, Sponsored Programs staff will review the contract and verify that a period of performance (beginning and ending dates) is included in the terms and conditions. If the period of performance is not included, Sponsored Programs staff will negotiate mutually acceptable beginning and ending dates with the sponsoring agency.

If additional time is needed to complete work on a sponsored project, the Principal Investigator must notify Sponsored Programs at least 60 days prior to the project end date. If the extension cannot be approved internally, the account will not be extended until written approval from the sponsoring agency is received.
