Internal Communications Matrix

Purpose: The purpose of this matrix is to establish guidelines and parameters for the use of broad-based communications (emails and MyFAU ) with the entire University or significant groups.

Scope: These guidelines cover University-wide communications to internal audiences. In general, these guidelines do not apply to communications intended for external audiences, such as information or recruiting messages to prospective students, alumni or donors. Nothing in these guidelines should be construed so as to prohibit communications between faculty and students or other official communications necessary to efficiently and effectively conduct the normal daily business of the University.

Definition

“Broad-based communications” are defined as:

  • • Broadcast emails, commonly known as “all-campus,” “all-students” or “all faculty and staff” emails
  • • Broadcast Portal messaging, and
  • • Communications targeted to the entire University community or a significant group.

Guidelines

  1. Broad-based communications are for students, faculty and staff. They are official communication channels of the University, designed to support the University’s mission.
  2. Proposed broadcast electronic communications must fall into one of the levels defined in the chart below to be approved for distribution. These levels also determine the priority for distribution.
  3. All communications must be approved by the Division of Public Affairs and/or the requester’s division/department head.
