Reservation Policy

Purpose


The Baldwin House is named for Ms. Eleanor R. Baldwin, a longtime Boca Raton resident and Broward County high school teacher. Ms. Baldwin’s intention for making this contribution was to provide FAU with a facility to assist the institution in meeting its community based goals and to provide a cornerstone on which university traditions will be built.

The Baldwin House is an events and reception facility as well as private residence for the President and family. The purpose of the house is to present a gracious setting for the university to extend its hospitality and to celebrate its achievements. These types of events will center on gatherings for faculty, students, or alumni, recognition of donors, academic milestones, and volunteer appreciation.

Types of Events

The Baldwin House is an appropriate site for several types of functions, although only one event takes place at a time. The house can accommodate up to 250 people for a reception and standing function. The Grand room provides seating for 100 guests. It also will hold a square meeting table for approximately 35 people. The dining room has fixed table which seats 20 people. The lounge easily will hold 10-15 people and has a large-screen television. The lanai is covered and extends from the grand room. The Baldwin House is a wonderful setting for working breakfasts, luncheons, receptions, formal dinners, and backyard barbeques.

In addition, the back yard provides a stabilized area of 60’ X 120’ for erecting large tents. Electrical power is available.

Parking is available on site and valet service may be contracted for individual events. There are approximately 28 paved parking places, with several handicapped designated spots. There is an additional area on the property that will accommodate another 40 automobiles. This parking is on a hardened grass surface, similar to the tent area. Valet service is necessary for large functions.

Guidelines

The President and/or spouse are the hosts of each event. In certain instances, the President may be unable to attend and may appoint a member of his staff to represent him. The President may co-host an event with another vice president, dean, university affiliated organization, or community organization. The President is always listed first as a co-host as the facility is his residence.

The Baldwin House is not a rental hall facility; it is a special place where people are invited as guests of the President and the University. Tickets are not sold for Baldwin House events nor are guests asked to pay for their attendance, except in rare cases approved by the President.

Requests for events should be made with the Director of the Baldwin House. The President and spouse, the President’s Chief of Staff, and the Vice President of Advancement will review and approve the requests.

Chartwell’s, the campus food service provider, is the exclusive caterer for the Baldwin House. The Baldwin House Director will coordinate the food, service, and rental needs for each event.

Special Event Planning and University Protocol Standards and Guidelines

Fiscal Responsibility

The responsibility of paying for events rests on the sponsoring organizations. It is not possible for the President’s office to assume responsibility for paying for every event. While the President or spouse may host an event, it may primarily benefit one college or department, and that department will be responsible for the costs. The fiscal responsibility for each event will be worked out as the event is being scheduled on the President’s calendar.
Examples:

The President and the Chamber of Commerce are hosting a reception for a local business honoring its impact on the community. The Chamber and the Foundation may split the costs.

The President and the Provost host a reception to introduce a new Dean. The Provost’s office and the appropriate college may share the costs.

The President and the VP of Advancement host a dinner for the past foundation board members. The foundation may pay for the dinner.

The President and VP of Student Affairs host an event for freshmen and their parents during the first week of school. The Student Affairs department may be expected to underwrite the costs of the event.
