Audiovisual Policies

Fees

There is a fee for use of classrooms by students,  student organizations & clubs, special events not associated with FAU (ie. summer camps), and any use by groups or individuals  not associated with FAU (exception: laptop computers for faculty). When making a request for use by a student organization/club, the appropriate advisor must provide an account number. All other fees may be made payable by check to FAU. Fee forms will be emailed to those needing them. Those making reservations requiring fees need to allow time for AV Services to check the requestor's FAU account. Accounts not approved two days in advance of the requested date and time will have to pay by check in the AV office before equipment can be delivered.


Orders

Orders will be processed between the hours of 8AM and 5 PM Monday through Friday. All orders must include the name of the instructor, a local contact's phone number, the day of the week (or days if a term order), the date(s) of the request, building and room number, start time, end time, and equipment requested.


Deliveries

AV Services will make every effort to deliver and pickup equipment on time. Occasionally, unavoidable circumstances hamper our efforts. Please be patient.


Phone Calls

Our phone number is (561) 297 - 3707. We can only return calls to local phone numbers. We can be reached by e-mail at avserv@fau.edu. Please call on Friday to confirm weekend orders as the Saturday staff is minimal and there is no staff on Sundays. Otherwise, please refrain from calling in requests for equipment so that the phone can be free for emergency calls, trouble reports, corrections and cancellations. No orders for multiple dates will be taken over the phone: these must be ordered via e-mail or the web.


Term Orders

Term orders are requests for equipment for more than one date. Since classroom assignments may change during exam periods, term orders will only be scheduled through the last day before Reading Day. If you need equipment during exams, you should submit a separate request.


Use

The person and department or other organization making the request is responsible for the proper care and use of the equipment. Be prepared with an alternate class plan in case of equipment failure. Please call us if you do have a failure, we will respond as soon as possible. Not all failures can be fixed immediately.

The demand for equipment increases as the semester progresses. Planning ahead and ordering early are keys to getting equipment you need.


AV Services Computer Software Loads

Laptops - Windows 98SE and Windows 2000 laptops

Microsoft Office 2000 (Access, Excel, Outlook, PowerPoint, Word). The Windows 2000 laptops also include FrontPage and Publisher.

Internet Explorer

FAU Computer Services - AS400, FAUVMS, NWALT, NWRDC1, and Telnet

FAU Desktop Acrobat 4.0, Netscape Navigator and WS_FTP95LE

Desktops - Windows 2000

Microsoft Office XP (Access, Excel, Outlook, PowerPoint, FrontPage)

Internet Explorer

FAU Computer Services - same as laptops

FAU Desktop - Acrobat and WS_FTP95LE

Users of AV Services computers (excepting Teaching Auditorium computers which are managed by Academic Computing Services, 7-0043, (561) 297 - 0043) are limited to using the software normally installed on the unit. The sole exception is that users who check out the unit from the AV office may install other software only for the length of the loan. Users are responsible for ensuring all software installed on these computers is properly licensed.


Non-FAU Laptops and Other Computers

AV Services Staff will not reconfigure computers not owned by FAU. They can suggest a desktop resizing, if appropriate. All other issues will be the responsibility of the owner.


Teaching Auditorium

Reserving an auditorium through the room scheduling office does not automatically entitle one to use the AV equipment in the room. Use of equipment must be scheduled with AV services. All instructors and teaching assistants using AV services equipment in teaching auditoriums should register their class with AV services. AV services will determine if instructors need training to complete the registration.

Teaching Auditorium computers are managed by Academic Computing Services, 7 - 0043, (561) 297 - 0043). If you need software loaded on these units, contact them.


Student and Club Rentals

PA system rental to students and clubs will be limited to the Anchor or similar system. Laptops cannot be loaned to students or student organizations.


AV Equipment Permanently Assigned to Classrooms

This equipment should not be removed from the room. Most of the overhead projectors have a spare bulb. Simply switch from the bad to the good bulb. Please notify us when the first bulb burns out, and you will not have to waste class time waiting for a replacement. If you absolutely have to remove a unit from its assigned room, please return it.
