BACKGROUND CHECKS FOR PRE-COLLEGIATE / YOUTH PROGRAMS CAMPS AND PROGRAMS

Before moving forward, please make sure that you have completed all necessary requirements with the  Pre-Collegiate / Youth Programs. Below you will find information on how to request level 2 background checks for both Pre-Collegiate / Youth Programs Summer and Fall/Spring camps and programs.  For any questions regarding the Background Check Process, please review the Resources and FAQ section or contact Recruitment Services at  empl@fau.edu

Fall - Winter - Spring Camps and Programs Background Check Process

This was created to provide information on how to complete the background check requirement for your Fall/Winter/Spring Camp or Program.

Before moving forward, please ensure that you have received appropriate approvals from the Pre-Collegiate / Youth Programs office as background checks will not be initiated if their requirements have not been met.

Important Reminders

  • Approval by Human Resources must be received before offers of employment/volunteer service and before employee/volunteer can begin their assignment.
  • All required paperwork and spreadsheets must be submitted to Human Resources 60 days prior to the start of the Camp/Program
  • Human Resources will review the spreadsheet and supporting documents prior to initiating any background checks.

 

Request Background Checks for your Fall/Spring Camp or Program:

Below is a breakdown of the steps required in order to request background checks for your camp:

1. Complete required camp/program spreadsheet

Complete the Camp/Program Background Spreadsheet and submit to HR via email at  empl@fau.edu  by the deadline provided. If you have additional personnel changes after the deadline, notify Recruitment Services as soon as possible. You will be required to submit a revised camp/program background spreadsheet. Background check approval will still be required prior to the late addition beginning employment or volunteer services.


After reviewing the spreadsheet, Recruitment Services will provide an update via email that includes information specific to your camp. It is important for you to review this email for any updates or for any questions we may have. 
2. Have Camp Personnel complete and all required forms
All camp/program personnel that require background check screening are required to complete the VECHS Waiver Agreement   .
3. Submit Camp Personnel Packet to Human Resources

Each camp should only submit 1 Camp Personnel Packet that includes the VECHS Waiver Agreement form for each camp personnel.

Once all documents are collected from each person, you will need to submit all completed forms as one Camp Personnel packet directly to HR. Packets must be submitted in person to Human Resources. HR is located in Building 4, Room 114 – right across from Chick fil-a.

Camp Personnel Packet must be submitted a minimum of 50 days prior to the start of your summer camp or program. 

4. Recruitment Services within HR Reviews Camp Personnel Packet and Background Check Spreadsheet

Recruitment Services will review the submitted spreadsheet to determine the required action for each of your camp personnel (including volunteers).


After reviewing the spreadsheet, Recruitment Services will provide an update via email that includes information specific to your camp. It is important for you to review this email for any updates with required background checks or for any questions we may have. 
5. Recruitment Services initiates background checks

Recruitment Services will begin initiating background checks 45 days prior to the start of your camp if all paperwork was submitted by the provided deadlines.

If all paperwork has not been received and verified prior to the initiation date, background checks will not be initiated for your camp.

Without approved background checks on file, your camp or program will not be authorized to take place.

Recruitment Services will provide the camp personnel that require background checks with information on how to complete their fingerprinting appointments.

6. Camp Personnel schedules and completes fingerprint appointment
Camp Personnel will receive an email with instructions on how to schedule their fingerprinting appointment. Appointments must be scheduled and completed within 14 days of receiving the email.
7. Recruitment Services receives background results
Upon receipt of the results, Recruitment Services will update your camp/program spreadsheet and will notify you via email that the background check is approved for all applicable personnel.
