Acting Recruitment Process
The employee hired into an established position for a limited time period is considered Acting. Employees in an acting status are those not hired from a search or recruitment. An Acting assignment is not to be considered a long term employment situation. Departments hiring an employee in acting status must begin the recruitment process within sixty (60) days from date of hire. Exceptions may be made for certain grant positions, due to limited time frames. Other exceptions may be made by the President or designee. These employees are eligible for benefits and accrue leave time. Acting employees are not entitled to layoff rights and may be terminated without prior notice. Please contact the Employee Relations Department (297-2554) prior to assigning Acting status to any employee currently in a regular AMP or SP position.

- Prior to the offer of employment of an applicant/current employee in an acting capacity, the applicant/employee must complete a Support Personnel/Temporary application in the PeopleAdmin system (https://jobs.fau.edu). The individual must notify the hiring manager that the application has been completed, including education and employment experience.
- The applicant must meet the minimum requirements for education and employment experience as defined in the position description.
- Prior to employment the hiring manager must send an email to the Employment Office requesting a background check. Please include the applicant’s name, the position number and indicate they are being considered for an Acting assignment.

Do not make an offer of employment until you have received confirmation of a successful background check.
- When final approval has been received from the Employment Office regarding the background check, the hiring administrator may contact the selected candidate to confirm a mutually agreed upon start date. If the applicant is a current employee, please coordinate the start date with the current manager.
- A completed Personnel Action Form (PAF), including all necessary signatures, must be forwarded to the Employment office. In addition to the PAF the hiring authority must complete an Acting Employee Offer Letter (see sample). The original letter must be signed by the department and the employee and forwarded to the Employment Office to be included in the employment file.
- The PAF and Acting Employee Offer Letter must be received no later than 5 PM on the Wednesday prior to the Monday start date.
- The Employment Office will forward the PAF, Acting Offer Letter and all appropriate paperwork to Processing and Records.
- If the Employee is new to the University, he/she must attend New Hire Orientation on their first day of employment and be prepared to provide proof of eligibility to work in the U.S. through the I-9 Form. After the sign-in, the employee's assignment will be entered into the payroll system.
- Departments must begin the recruitment process within 60 days of the acting appointment for the regular appointment placement to this position. To be considered for a regular appointment the acting employee must apply during the open recruitment period.
