Non-Recruited Temporary Process


In some situations, the hiring department may have identified a qualified candidate without a formal recruitment.

If Formal Recruitment is not required, follow the steps below :

1.   The department has identified a candidate, and that person meets the minimum qualifications. The minimum educational and employment experience should be comparable to an equivalent line position.

2.     The applicant must log into PeopleAdmin (https://jobs.fau.edu) and complete a Support Personnel/Temporary application.  (The applicant will receive a notice from the system that the application is not complete because they have not applied for a specific position.  Disregard this message.)  The applicant must notify the hiring manager that they have completed the on-line applicant including educational and employment history.

3.     After confirming the starting salary, inform the candidate that a representative from the Human Resources Department will contact them regarding the background screening procedures.  Send an email to sberg12@fau.edu and sdemonte@fau.edu requesting a background check.  Please include the candidate’s name and agreed upon starting salary. 

4.     The Employment office will contact the candidate and request all necessary documentation to complete the background screening.  Upon receipt of the necessary documentation from the candidate, Florida Atlantic University Police department will conduct a complete background check as approved by the University Board of Trustees. Compete background screens are required for all newly hired employees and any current employee who is changing departments. Any previous employee with a break in service of more than 30 days will be required to submit to a new background investigation.

5.     YOU WILL RECEIVE NOTIFICATION FROM HUMAN RESOURCES WHEN THE BACKGROUND SCREENING PROCESS HAS BEEN COMPLETED.  ANY QUESTIONABLE BACKGROUND RESULTS MUST BE APPROVED BY THE PROVOST/VICE PRESIDENT.

6.    When you have received notification from the Employment Office of the successful completion of the background check, you may contact the candidate and agree upon a firm start date. If the selected candidate is a current employee, the start date must be coordinated with their current supervisor.

7.    DO NOT MAKE AN OFFER OF EMPLOYMENT UNTIL YOU HAVE RECEIVED CONFIRMATION OF A SUCCESSFUL BACKGROUND CHECK. THE CANDIDATE SHOULD NOT TENDER THEIR RESIGNATION TO THEIR CURRENT EMPLOYER UNTIL THEY ARE NOTIFIED THE BACKGROUND SCREEN HAS BEEN COMPLETED AND APPROVED.

8.   The Employment Office will notify the hiring authority when the background check has been completed.  The hiring authority may contact the candidate to confirm a mutually agreed upon start date.

9.    A Personnel Action Form (PAF) with required signatures must be submitted to the Employment Office no later than 5:00 PM on the Wednesday prior to the Monday start date.  The Position Job Identification Form must be completed for Exempt positions.  The Employee Acknowledgment Form must be included for Non-Exempt positions.

10.  The Employment Office will forward the PAF and all appropriate paperwork to Processing and Records.

11. All new employees will begin employment on a Monday, unless a University holiday is observed. He/She must attend New Hire Orientation on their first day of employment and be prepared to provide proof of eligibility to work in the U.S. through the I-9 Form . After the sign-in, the employee's assignment will be entered into the payroll system.  Temporary employees only who are unable to attend Monday Orientation may sign in with the Processing & Records section of Human Resources on Tuesday or Thursday from 9:00 a.m. to 4:00 p.m.
